AIS’24 will take place in a hybrid format, Here are some guidelines for delegates and speakers.

Delegates' Obligations

Delegates' Obligations (Online)
To effectively participate in the AIS’24 Meeting, all participants will need to respect the following:
  • Register here to be able to attend the meeting.
  • Have your earphones connected especially for the Q&A sessions to allow interpreters/captioners to hear properly.
  • Use your preferred language channel French or English.
  • All participants will be muted upon entry.
  • Participants will be allowed to share their comments only during the Open mic & Q&A session.
  • Participants are encouraged to raise their hands prior to any comments/questions. 
  • The session moderator shall state your name before you are allowed to speak. 
  • Chose either English or French to listen to speakers in your preferred language.
  • When talking, articulate slowly to allow interpreters/captioners to hear properly
Delegate Obligations (Onsite)
  • Participants will be allowed to share their comments only during theOpen mic & Q&A session.
  • Participants are encouraged to queue up at the nearest mic.
  • Please state your name and affiliation before you speak on the mic.
  • When talking, articulate slowly to allow interpreters/captioners to hear properly

Speakers' Obligations

AIS 24 Speaker Guidelines
  • Keep your presentation within the time limit. 
  • When talking, articulate slowly to allow interpreters/captioners to hear properly
  • On-site presenters will forward their slides themselves, while for virtual presenters the slide coordinator in the room will forward their slides.
  • For virtual presenters, 
    • Find a quiet space for participating in the live session, preferably in a well-lit area.
    • Lighting should illuminate your face (i.e., no window or light source behind you). 
    • Use the meeting background shared with you.
    • Ensure you book a slot with the event team to test-run your presentation before the conference. 
    • Use a computer with Webcam and Microphone/headset connected, as internal computer microphones are often not able to provide sufficient quality sound. 
    • Join your preferred language channel French or English channel and avoid switching between channels. 
    • Mute your microphone when not talking. 
    • Connect to the platform latest 15 minutes before your allocated time. 
    • If you do not have a stable Internet connection, you are encouraged to pre-record your presentation.
  • For On-site presenters,
    • Be present in the room where your session is programmed at the latest 15 minutes before your time.
    • Ensure you book a slot with the event team for guidance and tests before the conference. 
  • In addition to the above, the event team will discuss with each presenter any specific requirements.
